Costumes Committee & Coordinator

Costuming Coordinator

The Costuming Coordinator ensures that every character in a production is costumed in a timely, professional, and visually cohesive manner. This role requires organizational skills, creativity, and oversight of the full costuming process from design to storage while staying within budget.

Responsibilities:

  • Costume Design & Creation

    • Establish the overall aesthetic and appearance of characters.

    • Use on-hand, rented, or specially ordered items, including accessories.

    • Prioritize costumes for publicity photos so lead characters can be photographed on a set date (TBD).

  • Budget Management

    • Stay within show budget parameters.

    • Keep receipts organized, totaled, and categorized.

    • Submit receipts to the Artistic Director after closing.

  • Rehearsals & Performances

    • Attend early rehearsals and all of tech week.

    • Oversee physical load-in of all costumes for the production.

    • Ensure at least one committee member is on-site for every dress rehearsal and performance to manage repairs (rips, malfunctions, etc.).

  • End-of-Production Duties

    • Return all costumes to the C.R.O.W. building.

    • Manage cleaning and safe return of borrowed costumes.

    • Oversee cleaning and proper storage of C.R.O.W.-owned costumes, hats, and accessories (neatly stored in their assigned bins).

  • Communication & Oversight

    • Directly oversee all costuming committee volunteers.

    • Address volunteer questions; escalate to Director/Assistant Director if clarification is needed.

    • Follow the Director’s final decisions on costumes that need adjustments or do not meet expectations.

Costuming Committee

The Costuming Committee works closely with the Costume Coordinator, Director, and Assistant Director to ensure that every cast member has a complete, properly fitted costume by Tech Week. Committee members help with organization, fittings, and backstage support (whether or not they sew).

Responsibilities:

  • Measurements & Records

    • Take measurements of all cast members.

    • Keep detailed records of costume needs for each character.

  • Collaboration

    • Work with the Costume Coordinator, Director, and/or Assistant Director to ensure all costumes are finished before Tech Week.

  • Support Tasks

    • Assist with fittings, load-in, load-out, and organization of the costume shop.

    • Label all costumes (or hangers) with the actor’s name.

  • Sewing & Non-Sewing Roles

    • Volunteers who sew contribute greatly to building or altering costumes.

    • Volunteers who do not sew can still assist with measurements, fittings, labeling, organization, and backstage needs.

Sets Committee

The Sets Committee supports the creation, transportation, assembly, and strike of all scenic elements for the production. Volunteers work alongside the Set Builder and Scenic Artists to bring the stage to life.

Responsibilities:

  • Building & Preparation

    • Assist the Set Builder and Scenic Artists in constructing set pieces and large props ahead of show time.

    • Help with scenic painting or finishing work (experience welcome but not required).

  • Transportation & Assembly

    • Transport set pieces and large props to the theatre.

    • Assemble and secure the set on stage during Load-In.

  • Strike & Storage

    • Take down the set after the final performance.

    • Load set pieces onto trailers/vehicles.

    • Unload and return items to storage.

  • Volunteer Skills

    • Strong, able-bodied helpers are especially needed.

    • Familiarity with tools, scenic building, or painting is a bonus.
       

Make-Up & Hair Coordinator(s) Committee

Make-Up & Hair Coordinator(s)

This role may be filled by one or two people. The Coordinator(s) design and oversee all performers’ hair and makeup, ensuring a cohesive, period-appropriate look that supports the vision of the production.

Responsibilities:

  • Design & Research

    • Research the production to determine appropriate makeup styles and period-specific hair designs.

    • Collaborate with the Artistic Director and Costume Coordinator to create a unified aesthetic.

  • Oversight During Production

    • Design and oversee hair and makeup for all performers.

    • Set up backstage hair and makeup stations before rehearsals and performances.

    • Keep stations clean, organized, and stocked throughout the run.

  • End-of-Production Duties

    • Clean and organize wigs, makeup, tools, and accessories.

    • Return all hair and makeup supplies to C.R.O.W. after the production.
       

Makeup Coordinator

The Makeup Coordinator ensures that all performers have appropriate stage makeup, ranging from basic applications to specialized character looks. This role balances design, organization, and hands-on application during rehearsals and performances.

Responsibilities:

  • General Makeup Oversight

    • Ensure every performer has basic stage makeup (usually provided/applied by cast members or parents).

    • Provide assistance for actors unable to apply makeup themselves, using their personal supplies.

    • Keep a small stock of basic stage makeup on hand in case a performer forgets or cannot provide their own.

  • Specialty Makeup

    • Design and prepare any required specialty looks (e.g., fantasy characters, specific colors, prosthetics).

    • Coordinate with C.R.O.W. to purchase specialty items as needed.

    • Test specialty makeup during Monday of tech week, even though makeup is not officially required that night, to allow time for adjustments.

  • Application & Delegation

    • Personally oversee and apply makeup for lead roles (with one additional volunteer).

    • Assign one or two committee members to apply ensemble makeup.

    • Adjust designs as needed if stage lighting alters the intended effect.

  • Collaboration & Authority

    • Work closely with the Director/Assistant Director, who have final say on any makeup that does not work under stage conditions.

  • Tech Week & Performances

    • Attend all rehearsals during tech week to ensure hair, makeup, costumes, and lights integrate smoothly.

    • Maintain consistency and quality of makeup application for each performance.
       

Hair Coordinator

The Hair Coordinator manages wigs and hairstyles for the production, ensuring a polished, stage-ready look for all performers. This role involves research, oversight, and collaboration with volunteers and parents.

Responsibilities:

  • Wigs

    • Oversee styling, upkeep, and maintenance of all wigs throughout the production.

    • Research and source wigs (online or in-store).

    • Submit purchase requests to the Artistic Director for reimbursement or coordinate for items to be purchased directly.

  • Hair Design & Styling

    • Ensure all hairstyles are pulled back and out of performers’ faces for visibility and consistency.

    • Collaborate with select volunteers to style lead actors’ hair for each performance.

    • Oversee ensemble hair styling, encouraging parents to prepare their children’s hair as directed.

    • Assign one or two committee members per performance to assist with ensemble hair when actors or parents cannot.

  • Delegation & Oversight

    • Choose and manage one or two volunteers to help with lead actor styling.

    • Provide guidance and expectations to parents and committee members for ensemble hair.
       

Make-Up & Hair Committee

The Make-Up & Hair Committee works under the guidance of the Coordinator(s) to ensure every cast member is performance-ready. Volunteers assist with applying makeup and styling hair or wigs, making sure each performer’s look matches the production’s design.

Responsibilities:

  • Design & Application Support

    • Help implement the hair, wig, and makeup designs created by the Coordinator(s).

    • Assist children who cannot apply their own makeup.

    • Perform touch-ups during intermission as needed.

  • Performance Readiness

    • Ensure all cast members are stage-ready and appearance matches the design plan.

    • Confirm that each child provides their own makeup (no community/shared makeup).

  • Rehearsals & Performances

    • Create and maintain a schedule so committee members are present at all dress rehearsals and performances.

    • Cover assigned shifts to guarantee full support throughout the run.
       

Props Committee and Coordinator

Props Coordinator

The Props Coordinator is responsible for sourcing, creating, and managing all props required for the production, ensuring they are functional, available for rehearsals, and consistent with the Director’s vision.

Responsibilities:

Prop Sourcing & Creation

  • Find or create all props needed for the script and any additions developed during rehearsals.

  • Submit receipts to the Artistic Director for reimbursement when items are purchased.

  • Stay within budget, keeping all receipts organized, totaled, and categorized for submission after the show.

Rehearsal Support

  • Ensure props are available early for actors to rehearse with whenever possible.

  • Attend selected rehearsals to confirm props function correctly.

  • Consult regularly with the Director/Assistant Director throughout the rehearsal process.

Tech Week & Load-In

  • Attend all rehearsals during tech week.

  • Cover props tables with brown paper, load in all props, and label each item in its correct stage position.

During the Run

  • Ensure all props are functional during performances.

  • Repair or adjust any props that may become damaged during use.

  • Confirm props continue to match the Director/Assistant Director’s approval and vision.   
     

Props Committee

The Props Committee works under the guidance of the Props Coordinator to collect, organize, and manage all props needed for the production.

Responsibilities:

Prop Collection & Sourcing

  • Collect any props required for the production, as directed by the Props Coordinator.

  • Source items by borrowing, thrift shopping, or other means.

Tracking & Return

  • Keep track of all borrowed items.

  • Ensure that borrowed props are returned to their owners promptly and in good condition at the end of the show.

Organization & Support

  • Assist the Props Coordinator with organizing props for rehearsals and performances.

  • Support smooth operation of props tables during tech week and performances.
     

Fundraising (Item Sales) Committee

The Fundraising Committee manages all aspects of item-based fundraisers, ensuring accurate collection, enthusiastic participation, and smooth distribution of items.

Responsibilities:

Collection & Tracking

  • Collect all fundraiser forms by the deadline.

  • Count money to verify accuracy within 1–2 days after the deadline.

  • Ensure students have submitted all required items for the fundraiser.

  • Follow up with students or families if payment is incomplete.

  • Be the single point of contact and keep in communication with Melanie and the assistant. Google Forms will be created to assist. 

Coordination & Communication

  • Help engage parents and students to encourage participation in the fundraiser.

  • Provide ongoing encouragement and updates throughout the fundraiser period.

  • Email the final order count to the Director for product ordering.

Financial Management

  • Total and organize all checks and cash for easy deposit into C.R.O.W.’s bank account.

Distribution

  • Commit to assisting with distribution of items on the scheduled distribution day.

Green Room Coordinator & Supervision Committee

The Green Room Coordinator and Committee ensure that all cast members in the Green Room are supervised, safe, and engaged, maintaining a clean and organized space throughout rehearsals and performances.

Responsibilities:

Green Room Coordinator

  • Arrange the supervision schedule to ensure all Green Room shifts are fully covered.

  • Monitor committee performance and provide guidance on managing and organizing the Green Room effectively.

  • Report any behavioral issues or medical needs to the Directorial staff promptly.
     

Green Room Committee

  • Sign up to provide supervision, snacks, and activities during rehearsals and performances at the FEC.

  • Ensure all children in the Green Room are well-behaved, quiet, and respectful.

  • Monitor behavior and notify the Coordinator of any issues.

  • Assist with keeping the Green Room organized and clean throughout rehearsals and shows (vacuuming, wiping tables, picking up trash, etc.).

  • After the final performance, restore the Green Room to its pre-show condition—completely cleaned, vacuumed, and free of personal items or trash.
     

Lobby Boutique/Telegrams/Flower Sales Committee

The Lobby Boutique Committee manages all aspects of sales and presentation in the theatre lobby, providing excellent customer service while supporting the production through fundraising and engagement.

Responsibilities:

Setup & Teardown

  • Complete setup and teardown of the Lobby Boutique, with guidance from the Artistic Director, on Thursday (after outreach shows) or Friday morning of Tech Week.

  • Schedule setup in advance with the Artistic Director.

  • Pack up unsold items and displays after the final performance and assist with transportation back to C.R.O.W.

Sales & Cash Handling

  • Ensure at least two volunteers per performance are assigned to run the boutique.

  • Sell items and collect money during performances.

  • Guard the cash box during the show and return it to the Stage Manager at the end of each performance.

  • Cover or put away items on the sales table after each show using a tablecloth.

Customer Service & Presentation

  • Dress professionally (business casual) while working the boutique.

  • Provide excellent customer service to guests.

  • Volunteers may watch the show while working but must return to the table before Intermission or post-show.

Additional Duties

  • Assist with decorating the foyer or theatre entrance if requested by the Artistic Director.

  • Follow instructions and use materials provided to prepare the lobby or entrance decorations.
     

T-Shirts Coordinator & Assistants

The T-Shirts Coordinator and Assistants manage all aspects of T-shirt orders for the cast, ensuring accurate collection, tracking, and distribution.

Responsibilities:

Order Collection & Tracking

  • Collect T-shirt order forms and money envelopes from cast members at a designated rehearsal.

  • Keep an accurate tally of sizes and styles to be ordered.

  • Ensure all orders and payments are correct, using strong organizational and math skills.

Coordination & Communication

  • Submit the final order and money to the Director immediately after the deadline to allow timely ordering of T-shirts.

Distribution

  • Attend the rehearsal when T-shirts are delivered to pass them out to cast members.

Assistants

  • Support the Coordinator as needed with collection, tallying, organization, and distribution.
     

Technical Theatre Committee (Lighting, Sound, Stage Crew, Special Effects, Stage Management, etc.)

The Technical Theatre Committee supports all technical aspects of the production, ensuring smooth execution of lighting, sound, special effects, and stage operations.

Responsibilities:

Technical Operations

  • Operate lighting, sound, special effects, and other technical equipment during rehearsals and performances.

  • Run microphones, music, sound cues, follow spots, fly rail, projectors, and other specialized equipment.

  • Assist with placing and managing microphones on actors, ensuring all equipment functions properly.
     

Stage Support

  • Help move set pieces as part of stagehand duties.

  • Collaborate with other technical crew members to maintain safe and efficient stage operations.

Collaboration & Interests

  • Inform the committee if you have a particular area of interest (lighting, sound, stage management, etc.).

  • The committee will assign roles based on skills, interests, and show needs.

Additional Notes

  • Participants may not be able to watch the show from the audience perspective while performing technical duties.

  • More specific instructions and schedules will be provided once roles are assigned.
     

Poster Hanging & “Word of Mouth” Committee

The Poster Hanging & Word of Mouth Committee helps promote the show by distributing marketing materials throughout the community and representing C.R.O.W. with enthusiasm and professionalism.

Responsibilities:

Poster & Flyer Distribution

  • Hang posters at local businesses, schools, and public areas from a provided list.
     

  • Suggest additional locations and expand the list as opportunities arise.

  • Hand out flyers at community events, sporting games, or public spaces (with approval from the Directorial team).
     

Community Representation

  • Be friendly, upbeat, and personable while distributing materials, as you represent C.R.O.W. to the community.

  • Encourage families to take children along to help with flyer distribution when possible.

Promotion Support

  • Spread the word about the show through personal networks, conversations, and community connections.
     

Cast Party Coordinator & Committee

The Cast Party Coordinator and Committee plan and host the end-of-show cast party, celebrating the production with food, fun, and fellowship. The party takes place at the C.R.O.W. Center for the Performing Arts immediately following the final matinee and strike.

Responsibilities:

Planning & Coordination

  • Coordinate all aspects of the cast party, including food, decorations, and setup.

  • Contact the Artistic Director with questions and for budget/reimbursement information.

  • Arrange for small cast gifts or mementos, if applicable.

Setup

  • Use the provided key to decorate and set up the party space on Sunday during the final performance.

  • Prepare food, decorations, and tables to be ready when the cast arrives.

During the Party

  • Host and ensure the event runs smoothly for cast, crew, and families.

Cleanup

  • Fully clean up the space before leaving:
     

    • Return all furniture to its proper place

    • Vacuum/sweep floors

    • Clean the kitchen area

    • Dispose of food waste and empty trash cans

    • Clean restrooms

  • Ensure the facility is returned to its normal condition before departing.

 

BINGO Event Fundraiser Committee

Bingo Fundraiser Committee
This committee plays a key role in planning and running the Bingo Fundraiser Event. Members assist with preparation, promotion, and event operations to ensure its success.

Responsibilities:

Event Preparation

  • Help decorate the event space.

  • Collect desserts and set up dessert auction tables.

  • Post event posters around town.

  • Collect and organize raffle prizes.

Ticket Sales & Promotion

  • Sell event and raffle tickets in the community.

  • Encourage community participation and excitement.

Day of Event

  • Assist with check-in and raffle sales.

  • Support setup and teardown of the event.

  • Provide general help as needed during the fundraiser.

Important Note: Committee members are considered event staff and may not be able to attend as guests.
