Cast & Crew Expectations

General Participant Information

There is no cost to participate in the show.
-
C.R.O.W.’s Spring Show will be performed at the Florence Events Center, with six public performances.
-
Livestreaming is not available due to licensing restrictions.
-
Strike and a cast party will take place following the final performance.
-
There will be two daytime free school outreach performances. All cast members except Telegrammers will need to be signed out of school by parent/guardian.
-
Some principal cast members may be invited to participate in an additional in-school Elementary assembly (date TBA).

There will be other required community outreach events (dates TBD).
-
Families will be responsible for providing stage make-up, hair accessories, undergarments (such as tights/leotards/tanktops, etc), and shoes. You will receive more info later.

Schedule & Attendance
-
By accepting a role, you are agreeing to attend all rehearsals you are called for, unless a conflict has already been approved.
-
Main cast rehearsals generally run Monday–Thursday, 6:30–8:45 PM.
-
Occasionally we run a few minutes late, but we try not to.
-
There may be a few Saturday rehearsals for select cast members only.
-
Telegrammer rehearsals are Wednesdays from 6:25-6:45 this year.

A detailed rehearsal schedule will be provided at the first meeting. The schedule will tell you the specific rehearsals you are required to attend (broken down by page number).

Rehearsal times may occasionally change or run late at the director’s discretion. We appreciate your flexibility and understanding that we do our best.

Not all cast members are called to every rehearsal. Families are responsible for checking the calendar daily and monitoring your email for updates.

Cast Members are released if they finish early. Parents must arrange prompt pickup.
-
If your child does not have a phone, please ensure they have a way to contact you.
-
Directors are happy to send a quick text if needed. Your child just needs to ask us.

Please have your notifications turned on while your child is at C.R.O.W.
-
Please do not arrive late for pickup at 8:45.
-
You are welcome to wait in the parking lot until your child is released.
-

For safety reasons, no young children may exit the building without a parent/guardian present.
-
Cast members 13 and older may walk to cars with parent permission.
-
Drivers - please take care when entering/exiting our parking lot as there will be many people present and it's a small/tight area.

Rehearsals may only be missed for illness or family emergency (unless you have been previously excused).

What to Bring To Rehearsals / Rehearsal Etiquette
-
​Please bring the following items to every rehearsal: your script/music, a pencil with eraser, a bottle of water with a tightly sealing lid, a book or other quiet activity (for long rehearsals/run throughs only), a recording device (for music rehearsals), and paper for taking notes.

Do not bring valuables.

Please eat dinner before rehearsal. In general, no food/snacks are permitted at rehearsal.

Non-messy food/snacks may be permitted during breaks ONLY for those with back to back class/rehearsal (such as dance class participants).
-
Absolutely no gum, candy, sugary drinks, or loud games/activities are permitted.
-
Please turn off the volume of your cell phone.
-
No tech/cell phone use is allowed during rehearsals, whatsoever.
-
Please review our tech policy in our participant handbook.

Personal hygiene is very important. You will be working in close quarters with other people. All cast members must keep their bodies clean, use deodorant, and brush their hair and teeth. Don't make us pull you aside to have "the talk." It won't be fun for any of us.

Do not wear any fragrances/perfume to rehearsals or performance. Many people are allergic to strong scents.
-
Please wear only closed toed shoes and comfortable clothing. No flip-flops, heels, or restrictive/ inappropriate clothing are allowed. You will be sent home if you wear inappropriate items. Please review our dress code.

Tech Week (Mandatory)
-
This production must be your child’s top priority during tech week and performances.
-
Tech week is mandatory and includes very late rehearsals (i.e.- 10 PM or later).
-
Read our FAQs to learn why this temporary commitment is worth it!

Please plan ahead and make this a positive, exciting time for your child.
-
Please notify your child’s school and teachers in advance and stay caught up on schoolwork.
-
If your child participates in other activities (sports, band, choir, martial arts, dance, etc.), please inform those instructors.
-
Repeated tardiness or any unexcused absences during tech week may result in immediate dismissal from the cast.

Parent Committees & Fundraising

All families are required to volunteer on at least one committee.
-
Committee descriptions and a sign-up form will be provided at the parent meeting.
-
Families are also required to participate in the See’s Candy fundraiser and raffle ticket sales (details TBA).
-
Cast fundraiser participation is in lieu of tuition. Most similar organizations charge $250-$500 per child for participation. We absolutely need your help to cover these operational funds so that we may provide your child with the very best.

Families may choose to opt out of fundraising by making a suggested $250 donation per child.
-
Questions will be addressed at the parent meeting.

Communication Expectations

Families are expected to actively stay informed.

We suggest that you adjust your social media notification settings to “see first” if possible.

Check your email frequently. If you don't receive regular emails from us, let us know so we can investigate the cause.

SMS text messages may be sent. Please title/save our text chain as "C.R.O.W." so that you know it's coming from us.

Have a helpful thought or idea? There is a suggestion box and blank cards located at C.R.O.W. on the front table. Please feel free to use it for any purpose. Cards may be submitted anonymously. You may also email us.

Participant Behavior Expectations

Please familiarize yourself will our code of conduct.
-
Punctuality is essential for all rehearsals, meetings, and performance call times.
-
Cast members who do not practice at home, or exhibit any negative or unproductive behavior may be removed from the cast at C.R.O.W.’s discretion.
-
Please encourage your child to be respectful and kind toward peers, especially those who were not cast or did not receive their desired role. This is an important lesson in empathy and compassion.
-
Bullying is not tolerated at C.R.O.W.
-
We value important qualities such as integrity, resilience, hard work, teamwork, and dedication to personal improvement.

As an educational theatre organization, nothing makes us happier than when a student strives to better themselves and returns with renewed skills. If your child was not cast, please encourage them to try out again next year!
